What we collect, what we do with it, and what we never do.

RPMars is run by Robert Marschall, a sole trader. RPMars Quoting is the service that reads quote requests arriving in a client's mailbox and writes draft replies priced from that client's own price list.

The contact form collects your name, email address, phone number if you give one, and your message. Booking a call collects your phone number, the time you picked and your time zone. We use these only to reply to you and arrange the call.

This website does not use analytics, advertising or tracking cookies.

When you set up the service, you give us:

• Your company name, the mailbox your enquiries arrive at, who approves quotes, your email signature, currency and tax wording
• Your price list: part numbers, descriptions, prices and lead times
• Your customer tiers and discounts, and which customers sit on which tier

We use these only to produce draft quotes for you. We never sell them, share them with another client, or use them for anything else.

When you click Connect with Google, you grant RPMars Quoting Google's gmail.modify permission for that one mailbox. Here is exactly what it is used for.

What we read

New messages arriving in the connected mailbox, excluding promotions, social notifications and automated no-reply mail. For each one, the subject and the first 8,000 characters of the text are sent to Anthropic's AI model to decide whether it is a request for a quote.

What we keep

• If a message is not a quote request, we keep only the sender's address and Gmail's reference for the message, so it is not checked twice. Its subject and content are discarded.
• If it is a quote request, we keep the sender's address, subject and text, and the quote we produced from it, so follow-up replies in the same conversation can be understood and so you have a record of what was quoted.

What we write

A draft reply, in the same conversation, in your Drafts folder. Nothing in the service ever sends an email, deletes a message, or changes any other message in your mailbox. Every quote waits in Drafts until one of your people reviews it and presses send.

Google describes this permission as “read, compose and send emails”, because it does not offer a narrower one that allows writing drafts. The permission would allow sending; the service never does.

Who sees it

No person reads your email as part of normal operation. Robert reads enquiries and drafts from your mailbox only with your agreement: while setting up and during the first weeks after going live, to check that quotes are accurate, and afterwards only when you ask him to look at a specific quote. The exceptions are where it is needed to investigate a security problem or to comply with the law.

Google's Limited Use requirements

RPMars Quoting's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular, Google user data is:

• used only to provide and improve the quote-drafting service for the client who connected the mailbox
• never sold, and never used for advertising
• never used to develop, improve or train generalised AI or machine learning models
• transferred to others only as needed to run the service (the providers listed below), to comply with the law, or as part of a merger or sale with your notice

These providers process data only to run the service. We will tell clients before adding a new one.

Because these providers are in several countries, your data may be processed outside the country you are in, including outside the UK and European Economic Area. Where that happens, we rely on the safeguards these providers offer for international transfers, such as Standard Contractual Clauses.

For client mailboxes, the data belongs to the client. The enquiries that arrive in a client's mailbox, and the details of the people who send them, are processed on that client's behalf and on their instructions. If you sent an enquiry to one of our clients and want to exercise your rights over it, contact that business first. We will help them respond.

For everything else, including website enquiries, bookings and client account details, Robert Marschall is responsible for the data.

• To provide the service a client has signed up for, which is necessary to perform our agreement with them
• To reply to enquiries and arrange calls, and to keep the service secure, which are our legitimate interests in running the business
• To meet legal obligations, such as keeping business records

• Client data, including your price list, enquiries, quotes and mailbox connection, is kept while you use the service and deleted within 30 days of you cancelling. The mailbox connection is removed at the same time.
• Website enquiries are kept for up to 12 months after we last spoke, unless you become a client.
• Automation run history, which n8n keeps for troubleshooting and which can include message content, is deleted automatically within 7 days.

Data travels over encrypted connections. Your mailbox connection is held in n8n's encrypted credential store and is never written to logs or to the database. The database is not publicly accessible, and access to the service's systems is limited to Robert.

You can disconnect your mailbox at any time, without asking us, from your Google Account at myaccount.google.com/permissions. The service stops reading it immediately.

You can ask us to show you the data we hold about you, correct it, delete it, or send you a copy, by emailing robert@rpmars.com. We will reply within 30 days. If you are unhappy with how we have handled your data, you can also complain to the data protection authority where you live.

This service is for businesses and is not directed at children.

If this policy changes, the date at the top changes too. If a change affects how client or Google user data is handled, we will email clients before it takes effect.
